Order sheets and supplier quotes

Turn everything from one supplier into a clean request a purchasing desk can price, then read the returned quote back in so your costs are real numbers.

The spec sheet already knows what to buy and how much. Order sheets close the loop out to the supply house, and quote ingestion closes it back in.

Build an order sheet

Open Order sheets from the project sidebar. Group the project's items by supplier and name the sheet: "Ferguson, Lakeshore Residence, plumbing rough".

What goes on it is identity and quantity: item, manufacturer, model or SKU, finish, size, and how many. What does not go on it is your client's money. An order sheet is a request for pricing, not a copy of your budget.

Send it

Sending freezes the sheet, so the version the purchasing desk is pricing cannot change underneath them while they work on it.

Print it, export it as a PDF, or email it. When the material is actually on order, there is an explicit action to mark those items Ordered, which moves their status on the spec.

Read the quote back in

When the quote comes back, upload it. A PDF or a photo of a printed quote both work.

The lines are read and matched against your spec items, and you get a review screen showing each quoted line next to the item it matched, with the price it carries.

Confirm line by line

Nothing is written until you confirm it. Check the match first, because a supplier's line description is rarely word for word your item name, and then confirm.

Confirmed lines write unit cost onto the spec item. That is the point of the whole exercise: your profit lens now runs on real supplier numbers instead of estimates, and setting prices from cost plus markup produces a real margin.

Leave anything you are unsure about unconfirmed. An unmatched line is better than a wrong match.

What this deliberately is not

There are no purchase order numbers, no approval chains, and no delivery scheduling. This is material purchasing that ends where operations begins.
